Your role

As an Executive Assistant, you will be an important support for our Country Director, management team, and support office by:

  • Organizing and coordinating appointments, meetings, and events
  • Taking minutes at management meetings and following up on any actions and plans
  • Being responsible for our office facilities and all relevant follow-up around these
  • Coordinating social events and any bookings
  • Following up on relevant supplier agreements
  • Assisting with translations, presentations, and internal communication
  • Supporting with other tasks and project management as needed

Your qualifications

We are looking for someone with relevant experience, preferably as an Executive Assistant or in office administration. You should have good computer skills (Microsoft Office) and be excellent in Finnish and English, both verbally and in writing.

As a person, you should:

  • Be structured, good at planning, prioritizing effectively, and delivering within set deadlines and budgets
  • Have excellent communication skills, both written and verbally
  • Be proactive and self-driven, able to deliver and lead various projects from beginning to end
  • Be precise and good with details, while also being able to work quickly and efficiently
  • Be solution-oriented, flexible, and adaptable
  • Have a consistent and positive approach, a strong service orientation, and good collaboration skills
  • Have high integrity and the ability to handle confidential information

 

Your development

Within 3 months, you’ll: 

  • Be onboarded into our ways of working and culture
  • Have gained understanding of our business
  • Have gotten to know key stakeholders
  • Have started to work on key tasks in your role

Within 6-12 months, you:

  • Have learned how to operate in the organisation efficiently and effectively
  • Run the Executive Assistant role proactively
  • Work on organising larger events
  • Can be the go-to-person for meetings, events and office related knowledge
  • Deliver good quality support to the organisation
